Room Selection

The 2019 Room Selection will take place April 22-25, 2019.

In order to register for classes and select a room, you must have cleared any outstanding financial balance on your student account. If you have a hold on your registration, please be sure to contact the Student Accounts office at ext. 1347 or email studentaccounts@sewanee.edu.

Prior to room draw, you should check your class and gown status in SODA/ Banner. If it is incorrect, please contact the registrar for corrections. Your room selection lottery number will be based on your status listed in SODA. It is your responsibility to make sure this is correct. The Office of Residential Life cannot change your status. 

 

Changes for 2019

The Office of Residential Life is excited to announce some changes to the room selection process for 2019. This year, room selection will occur electronically via our new software program, The Housing Director. Every student will still receive a room selection lottery number, but this year every student will also receive an individual room Selection Time. At their given Selection Time, students will log into their Student Housing Self-Service portal (if the hyperlink does not work for you, please copy and paste the following url: https://sewanee.datacenter.adirondacksolutions.com/sewanee_thdss_prod/security/sewanee_login.cfm) using their Banner username and password to select their room for the 2019-20 academic year.

The Office of Residential Life will share more details about lottery numbers, Selection Times, and the Student Housing Self-Service portal in mid-April.

Prior to participating in Room Selection, all students must submit a Returning Student Housing Application to signify their intent to live in a residence hall for the next academic year. This application can be accessed via the link for “Applications & Forms” in the Student Housing Self-Service portal, and will be shared with all students via email and made available in early April.

Find a roommate

Only rising seniors should plan to participate in room draw without a roommate. Potential roommates should discuss expectations for living together including sleep, study, cleanliness, and social habits.

Note: If you do not have a roommate, you cannot draw into a double room.

 

Lottery Numbers

Your lottery number is a computerized random number assigned to each student, and it reflects your graduation year and gown status. Residential Life uses this number to determine the order in which students choose their rooms.

The Office of Residential Life cannot change your class or gown status.  If your class or gown status is incorrect, you must contact the Registrar's Office.  If the Registrar's Office confirms that you are listed in the wrong class or gown status, you should stop by the Office of Residential Life to get a new number no later than Thursday, April 18, 2019.

New lottery numbers are generated randomly from lottery numbers assigned to student staff members (Proctors, EMTs, members of the fire team, etc.) who are assigned to specific housing and therefore will not participate in the room selection process.

 

Selection Times

Every student will receive an individual Selection Time for room selection. The Office of Residential Life anticipates sharing Selection Times at the end of the week prior to room selection. Selection Times are assigned in lottery number order. The lowest lottery number (e.g. number 1) will receive the first appointment, and the highest lottery number will receive the last appointment. Students will receive Selection Times for their class year’s selection date (dates listed above).

Once you have determined your roommate, identify the lowest lottery number between the two of you. The roommate with the lower lottery number will receive an earlier Selection Time, and will select a room on behalf of both roommates at that time. The roommate with the higher lottery number (and, therefore, the later Selection Time) will not need to log in at their Selection Time, as their room has already been selected.

 

Students Currently on Leave

Students currently reapplying for reinstatement, if approved, will be assigned a room and roommate over the summer. Currently enrolled students cannot select a roommate during room draw that has not been approved for reinstatement to the University.

 

Students Studying Away Next Year

If you plan to study away in the Advent semester, you are not permitted to participate in the room selection process in the preceding Easter semester. Housing for you will be arranged when you return to campus. If you select a double room for the Advent semester during room selection but ultimately study away from Sewanee for that semester, your roommate may forfeit the selected room and receive a new, random roommate and room assignment over the summer.

Students studying away in the Easter semester of the next academic year, who will therefore be on campus during the Advent semester of the next academic year, are required to participate in the room selection process.

 

Senior Suites

The Office of Residential Life has implemented some changes to the process for selecting “Senior Suites”. Senior Suites are suites for 2-6 residents in Hodgson, Humphreys, Quintard, and St. Luke’s Halls. On Monday, April 22, all rising seniors (members of the Class of 2020) will have the opportunity to participate in the Senior Suites round of Room Selection if they wish. During this round, one senior representing a group of seniors may select from the available suites in the buildings listed above. To participate in this round of room selection, ALL members of your roommate and suitemate group MUST be seniors.

Should any of these suites still be available at the conclusion of the Senior Suite selection day, the Senior Suite selection process will reopen on Tuesday, April 23, and coincide with the remaining rounds of room selection. Should a group of seniors wish to include any underclassmen (juniors and sophomores) in their suite, they must wait until Tuesday, April 23, to select a suite.

 

Off-campus Housing

Applications for rising seniors interested in applying to be exempt from the University housing requirement during their senior year were made available in March via Engage.

 

Substance-Free Housing

Students living in substance-free housing agree not to possess or use alcohol, tobacco, smokeless tobacco or any illegal substances while on campus, regardless of age. Designated buildings and floors used for substance-free housing are subject to change each year based on interest and space availability. Interested students should indicate as such on their Returning Student Housing application.

If you are interested in living in your fraternity or sorority house, please contact your sorority/fraternity president.

 

Accessibility Accommodation Process

Students requiring special housing needs (e.g., an air-conditioned room, meal plan exemption, or living on central campus) due to a medical condition should contact Student Accessibility Services via email at sas@sewanee.edu or via telephone at (931)598-1270, menu option 4. Any documentation may be submitted via regular mail or fax (931-598-1746).

In order to be considered for housing accommodations, University Wellness Center must be contacted no later than April 1 for returning students and July 1 for incoming students. Late requests are unable to be accommodated.

 

Other Important Notices

  • Once you select a room, you may not change your selection. 
  • A wait list for changing rooms will be created at the end of each room draw period. 
  • Any student that chooses not to go through room draw will be randomly assigned a room and roommate over summer vacation.
