AFTER HOURS EMERGENCY RESPONSE

PURPOSE: To provide clear guidance regarding after hours service call procedures.
The following procedure is designed to insure timely customer service in the event of an after hours emergency. If an after hours emergency occurs the customer should contact the University Police Dispatcher, (Ext 1111) who will implement the Call-Out Process. During normal operating hours trouble calls should be reported to the PPS Customer Service Desk, (Ext 1264).
PPS employees that respond to after hours emergencies will respond within one hour of being contacted. In accordance with The University of the South Staff Handbook, Section 202, Overtime: “Whenever non-exempt staff members are called out for emergency reasons, or when members of the PPS on-call team respond to a beeper page by reporting to work, they will be guaranteed a minimum of three hours pay at overtime rates: should the emergency job take longer than three hours, they will be paid overtime for the number of hours actually worked. Should additional emergencies arise while the non-exempt staff member is called out for emergency reasons, all emergencies will be considered as one call out in determining the minimum amount to be paid. If a staff member chooses and if the staff member’s supervisor approves, staff members may elect to take the emergency pay as time off as long as it is taken during the week in which the emergency hours are worked.”
Non-Exempt Staff members responding to call outs will clock in at PPS and pick up tools, equipment, materials, and vehicles as appropriate for the anticipated job. However, in an extreme emergency staff members are to use good judgment and take whatever steps deemed necessary in order to take care of the problem. If the staff member is unable to deal with the emergency he/she should contact their immediate supervisor, or the Assistant Director of Physical Plant Services, or the Director of Physical Plant Services (in that order). On-Call employees will complete a Yellow Work Order Form for each emergency with the date and time, number of hours charged, a brief description of the action taken and any follow work that needs to be done, (See attachment 1). The Work Order Form will be deposited in the emergency WO bin on the Customer Service Counter. After completing an emergency call out the non-exempt staff member will contact the Police Dispatcher to ensure there are no other emergency calls prior to clocking out.
